1. Start With a Clear Request
The booking process starts when you send us your vehicle details, the service you need, and where you are based. A single bakkie for a colour change needs a different schedule to a 12 vehicle fleet needing branding, PPF and tinting across more than one branch. The more detail you share up front, the easier it is to plan the right bay, the right team, and the right turnaround time.
Tell us the body type, colour, and whether the car runs daily or can stand for a few days. If you already have artwork, send that too. If not, our design and artwork team can work from your logo files and branding notes.
- Vehicle make, model and year
- Service needed: wrap, PPF, tint, interior wrap or wheel refurbishment
- Preferred branch area, such as Kya Sand, Sandton, Midrand, East Rand, Pretoria or Durban
- Any deadline, launch date or fleet rollout date
2. Quote Review and Approval
Once we have the details, we prepare a quote based on the scope of work, the material type, and the time needed in bay. A full vinyl colour change is priced differently from partial branding or spot repairs. Fleet work is usually quoted per vehicle or per batch, depending on the size of the rollout and the level of standardisation required.
We then send through the quote together with any notes on prep, lead times and special requirements. If the job involves company branding, we confirm the final artwork before anything goes to production. This step matters because colours, logos and contact details must be correct before installation starts. A small typo on a fleet can be expensive to fix later, so we always ask for sign off.
- Review the scope carefully
- Check the vehicle count and the services listed
- Confirm the final artwork and spelling
- Approve the quote before production is booked
3. Deposit and Job Confirmation
After approval, we normally request a deposit to secure materials and reserve your slot. For one vehicle this may only take a short lead time, but for larger fleet work the deposit helps us lock in production planning, bay allocation and staffing. Materials are ordered or prepared after payment is received, so this stage confirms the job in our system.
Once the deposit clears, we send a booking confirmation with the estimated start date and any instructions. If your vehicle is booked for a tint or PPF job, we may ask you to remove personal items and child seats before drop off. For fleet units, we can coordinate vehicles in batches to keep your business moving.
We keep the process practical and direct so you know what is happening next. No surprises, just a clear plan from quote to fitment.
4. Scheduling Around Your Vehicle Use
Scheduling depends on how the vehicle is used and what work is being done. A simple window tint job may take less time than a full wrap or wrap removal followed by new branding. In summer, heat can help with some film curing, while in cooler months we plan for extra handling time. During load-shedding periods, we also factor in lighting and bay readiness so work does not stall.
If your vehicle is a daily runner, we will try to arrange a drop off and collection window that limits downtime. Fleet clients often prefer staggered bookings so one vehicle stays on the road while another is in bay. In Johannesburg traffic, especially if you are coming from Sandton or the East Rand, we can help with realistic timing so collection does not become a half day wait.
- Daily-use vehicles are scheduled to reduce downtime
- Fleet bookings can be split into batches
- Weather, curing time and bay availability are considered
- We confirm the best drop off and collection times before arrival
5. Drop Off, Inspection and Handover
When you bring the vehicle in, we do a basic condition check before work starts. This is where we note existing scratches, chips, paint issues or previous film edges that may affect the finish. For older vehicles, especially those exposed to coastal humidity or hard sun, surface prep becomes even more important before any vinyl or PPF is applied.
Please bring the vehicle with enough fuel for movement in and out of the bay, and make sure any finance or insurance permissions are in place if required. If the vehicle has roof racks, decals or accessories that must come off first, let us know beforehand. That way the team can plan the prep properly and avoid delays. You can drop off at Kya Sand or, depending on the job and region, arrange through our wider service areas and wrap bays nationwide.
- Arrive with personal items removed
- Bring any required access codes or keys
- Tell us about aftermarket parts or prior repairs
- Ask about collection timing if you need the vehicle for business use
6. Updates During the Job and Collection
While the vehicle is in bay, our operations team and project coordinator keep things moving. If we discover a paint issue, panel damage or an unexpected fitment concern, we contact you before proceeding. That keeps the job clean and avoids unwanted changes. For fleet work, we can update the main contact person rather than speaking to multiple drivers, which saves time and confusion.
At collection, we walk through the work done and explain aftercare. This can include the first wash timing, how to treat edges, and what to avoid in the first few days. For tint and PPF, we usually recommend giving the film time to settle before heavy cleaning or window use. For wrap jobs, gentle care matters in the first week. If you need support after collection, our aftercare guidance is part of the booking, not an add on.
From first quote to final handover, the process is meant to stay simple and practical. If your fleet has a rollout plan or your personal car needs a single weekend slot, we will help match the work to your calendar as best we can.
